Approval of Suppliers

This document sets out the quality standards and requirements our current and prospective suppliers are required to fulfil. This is in order to ensure that the food quality and safety standards demanded by González Byass are met. Suppliers will be required to undergo an approval process that will be established for each group of materials.

Our suppliers play a critical role in terms of the Quality that is expected of our products. Our commitment to the Environment and to Sustainability is equally critical. As well as working with suppliers that have internationally recognised quality systems, we value their involvement in and commitment to making progress in these areas.

We expect our suppliers’ practices, both internally as regards their employees and externally in terms of their trading relationships, to be governed by Ethics and honesty. Our suppliers must operate in accordance with the law, without engaging in practices that could be considered to be criminal or deceitful.

It is a requirement that any information about our Company to which our suppliers have access in the course of their working with González Byass be treated confidentially and with discretion. This requirement will be maintained even once the commercial relationship with our company has ceased. The information to which our suppliers may have access must not be passed on to third parties without prior permission from González Byass.

Because our Company has been in business for a long time, there are established working relationships with a number of suppliers who remain on our database today as approved suppliers for historical reasons. We have maintained long-standing trading relationships with these suppliers and have been able to confirm their practices are correct and that they are able to supply us in line with our requirements. As well as informing prospective suppliers, this document is also designed to provide guidance to these long-standing suppliers as to our aims and objectives as regards both quality and the Environment. This is because our Purchasing Department may give preference to trading relationships with suppliers that hold certifications and/or comply with standards that will help us to ensure that we fulfil our own requirements.

Once a supplier has been approved the company may lose this status if, during subsequent assessments and checks, it is found to have failed to comply with standards or to have not renewed certifications or should our Quality department produce negative reports following internal audit inspections or if it fails to fulfil commercial agreements or to maintain Environmental quality standards or commitments as expected.

The different sets of suppliers are set out below along with the requirements and actions that have been identified as necessary for ensuring the quality of supplies:

 

Group 1 – Suppliers of materials that come into contact with the product to be consumed.  

  • Quality requirements to be fulfilled:
  • Recognised FOOD SAFETY certification
  • Recognised QUALITY certification
  • Spanish Health Registry (Registro Sanitario de España) nº
  • Where a supplier does not fulfil one of the above requirements they will need to complete our Supplier Approval Questionnaire, which will enable us to assess their commitment to the quality processes even where they are not officially certified.

Further, our Quality department may request to make an Inspection Visit should it consider this appropriate or necessary in order to approve the supplier in question.

  • Relevant certification will be that relating to the Environment, to the Health and Safety of Workers and to Corporate Social Responsibility.

 

Group 2 – Suppliers of material relating to the image of the product.

  • Quality requirements to be fulfilled:
  • Recognised QUALITY certification
  • Spanish Health Registry (Registro Sanitario de España) nº
    • Where a supplier does not fulfil the first requirement they will need to complete our Supplier Approval Questionnaire, which will enable us to assess their commitment to the quality processes even where they are not officially certified.
    • Further, our Quality department may request to make an Inspection Visit should it consider this appropriate or necessary in order to approve the supplier in question.
  • Relevant certification will be that relating to the Environment, to the Health and Safety of Workers and to Corporate Social Responsibility.

 

 

Group 3 – Suppliers of materials not directly related to the final product.

  • Quality requirements to be fulfilled:
    • The criteria for keeping the supplier on our supplier database will be strict compliance with the specifications set out in our purchase order, along with a lack of shortcomings in the delivery or of faults detected upon checking the materials. A history of supplying us will also be a criterion.

It will be incumbent upon the supplier to provide us with current certificates and other documents. Suppliers must also advise us of any change relating to their certificates and Quality procedures.
